Upload errors and how to fix them

These are the messages the SBI Clerk (Junior Associate) portal shows. Each one has a fix.

Error: Invalid file size
Fix: The SBI portal checks KB before anything else. Photo must be 20–50 KB, signature 10–20 KB, thumb 20–50 KB, declaration 50–100 KB. Use Auto-fit; it lands inside the range.
Error: Please upload a valid image
Fix: Only JPG/JPEG is accepted. A PNG renamed to .jpg, a HEIC photo from an iPhone or a PDF will fail. SahiSize always saves a real JPG.
Error: Signature / Hand written declaration in CAPITAL LETTERS shall NOT be accepted
Fix: This rule is in the notice itself. Re-write the signature and the declaration in normal running handwriting, then upload again.
Error: Image is unclear / smudged
Fix: Usually a dark or blurry phone photo of the paper. Retake in daylight, keep the phone parallel to the paper, and leave Clean signature/thumb on.
Error: Photo uploaded in place of signature
Fix: Each upload box takes only its own document. Use the file names SahiSize gives (photo.jpg, sign.jpg, thumb.jpg, decl.jpg) so you never mix them up.
Error: Declaration text does not match
Fix: The SBI text includes your Date of Birth and the last line "The signature, photograph and left thumb impression is of mine". The IBPS text has neither, so do not reuse an old IBPS declaration.

Handwritten declaration text

Copy this text in your own handwriting, in English, on white paper. Fill in your name.

I, ______ (Name of the candidate), Date of Birth ______, hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required. The signature, photograph and left thumb impression is of mine.

SBI Clerk uploads and the SBI declaration

SBI Junior Associate is one of the few bank forms where the official notice is easy to read, and the upload rules are strict. You need four files: photo, signature, left thumb impression and a handwritten declaration. Plan for about twenty minutes and one sheet of white paper.

Get all four files right in one sitting

  1. Write first, photograph later. On one A4 sheet, sign once near the top, put your left thumb impression in the middle, and write the declaration at the bottom. One sheet, one photo session.
  2. Copy the SBI declaration, not an old IBPS one. The SBI text has your Date of Birth after your name and ends with “The signature, photograph and left thumb impression is of mine.” Write it in English, in running handwriting, with black ink. No capital letters.
  3. Take the photo against a light wall in daylight, then crop it here to 200×230 px. Auto-fit keeps it between 20 and 50 KB.
  4. Crop each part of the sheet separately: signature to 140×60 px (10–20 KB), thumb to 240×240 px (20–50 KB), declaration to 800×400 px (50–100 KB).
  5. Download the ZIP and keep it. The live photo is taken separately in the form, by webcam or by scanning a QR code with your phone.

What is different about SBI

  • The declaration text includes your Date of Birth. This is the most common reason people redo the declaration.
  • The pixel sizes are written as “preferred”, but the KB ranges are enforced. SahiSize uses the exact pixels anyway, so nothing is left to chance.
  • SBI says a mismatch between your uploaded signature and the one on the call letter or attendance sheet can lead to disqualification.

When to prepare

The 2026 notice came out in August, and SBI clerk forms usually open around August–September. Make your files before the window opens; the form logs you out if you take too long.

If the portal still rejects a file

Check the Pass check card for the red row. A KB error means the file drifted out of range after editing; run Auto-fit again. “Not a valid image” usually means a HEIC or PNG file was renamed; download a fresh JPG from SahiSize instead.

SBI Clerk size FAQ

What is the photo and signature size for SBI Clerk?

Photo 200×230 pixels, 20–50 KB; signature 140×60 pixels, 10–20 KB; left thumb 240×240 pixels, 20–50 KB; handwritten declaration 800×400 pixels, 50–100 KB. All JPG.

Is the SBI Clerk declaration the same as the IBPS one?

No. SBI adds your Date of Birth after your name and ends with "The signature, photograph and left thumb impression is of mine." Write the SBI version shown on this page.

What do I write in the SBI Clerk handwritten declaration?

Copy the exact text shown on this page in English, in your own running handwriting, with black ink on white paper. Fill in your name and date of birth. Do not write in capital letters and do not sign at the bottom unless the form asks.

Do I still upload a photo if SBI Clerk captures a live photo?

Yes. You upload the scanned photo AND capture a live photo with the webcam or by scanning the QR code with your phone. Both should look like you today: same glasses, same beard.

Does 200×230 have to be exact?

The notice calls 200×230 "preferred", but the KB range is enforced strictly. Sticking to the exact pixels avoids any surprise, which is what SahiSize does.

I don't have a left thumb. What do I upload for SBI Clerk?

Use the right thumb. If both thumbs are missing, use a finger of the left hand starting from the forefinger, and write which finger it is on the paper.

How many copies of the photo should I keep?

SBI advises keeping about 8 copies of the same photo you upload, because it is needed again at the exam and at joining.
