Upload errors and how to fix them

These are the messages the IBPS Clerk portal shows. Each one has a fix.

Error: Invalid file size
Fix: The IBPS portal checks KB before anything else. Photo must be 20–50 KB, signature 10–20 KB, thumb 20–50 KB, declaration 50–100 KB. Use Auto-fit; it lands inside the range.
Error: Please upload a valid image
Fix: Only JPG/JPEG is accepted. A PNG renamed to .jpg, a HEIC photo from an iPhone or a PDF will fail. SahiSize always saves a real JPG.
Error: Signature / Hand written declaration in CAPITAL LETTERS shall NOT be accepted
Fix: This rule is in the notice itself. Re-write the signature and the declaration in normal running handwriting, then upload again.
Error: Image is unclear / smudged
Fix: Usually a dark or blurry phone photo of the paper. Retake in daylight, keep the phone parallel to the paper, and leave Clean signature/thumb on.
Error: Photo uploaded in place of signature
Fix: Each upload box takes only its own document. Use the file names SahiSize gives (photo.jpg, sign.jpg, thumb.jpg, decl.jpg) so you never mix them up.
Error: Upload failed. Please try again
Fix: Often a slow connection on mobile data. Your file is ready on this device; switch to Wi-Fi or try again a few minutes later instead of re-making it.

Handwritten declaration text

Copy this text in your own handwriting, in English, on white paper. Fill in your name.

I, __________ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required.

About the IBPS Clerk upload rules

IBPS Clerk (Customer Service Associate) runs on the same portal as IBPS PO, with the same five uploads. The form usually opens around August; in 2026 (CRP CSA-XVI) it was open from 1 to 21 August. The sizes below are from Annexure IV of the official CRP CSA-XVI notice.

Your checklist

  • Photo, 200×230 px, 20–50 KB
  • Signature, 140×60 px, 10–20 KB
  • Left thumb impression, 240×240 px, 20–50 KB
  • Handwritten declaration, 800×400 px, 50–100 KB
  • Class 10 (SSC/SSLC) certificate, one PDF on A4, not more than 500 KB

The four images are JPG files scanned at 200 DPI. The certificate is a PDF; if it has two pages, add both here and SahiSize joins them into one file.

Doing it from a phone

Many clerk applicants fill the form on a phone. That works well:

  1. Open this page on the phone and tap the kit button.
  2. Take the photo with the back camera, held at eye level, while someone else presses the shutter. Selfie cameras distort the face at close range.
  3. Photograph the paper with your signature, thumb and declaration flat on a table, from straight above.
  4. Crop each item. The crop box is locked to the right shape, so you cannot accidentally make a tall signature or a wide thumb.
  5. Photograph the certificate flat, page by page, and build the PDF here.
  6. Download the ZIP, unzip it in your Files app, and pick each file from there in the IBPS upload box.

The declaration on the IBPS portal

Write the IBPS text shown on this page in English, in running handwriting, with black ink. It has no Date of Birth line. Capital letters are rejected for both the signature and the declaration.

Common clerk-form trouble

Files under the minimum are as much a problem as files over the maximum. A 15 KB photo fails just like a 70 KB one. If an upload times out on mobile data, your files are still on the device; try again on Wi-Fi rather than making them again.

IBPS Clerk size FAQ

What is the photo and signature size for IBPS Clerk?

Photo 200×230 pixels, 20–50 KB; signature 140×60 pixels, 10–20 KB; left thumb 240×240 pixels, 20–50 KB; handwritten declaration 800×400 pixels, 50–100 KB. All JPG.

Are IBPS Clerk and IBPS PO sizes different?

No. Both use the same IBPS portal and the same specs: photo, signature, thumb, declaration, and the 10th certificate as one A4 PDF up to 500 KB.

What do I write in the IBPS Clerk handwritten declaration?

Copy the exact text shown on this page in English, in your own running handwriting, with black ink on white paper. Fill in your name. Do not write in capital letters and do not sign at the bottom unless the form asks.

Do I still upload a photo if IBPS Clerk captures a live photo?

Yes. You upload the scanned photo AND capture a live photo with the webcam or by scanning the QR code with your phone. Both should look like you today: same glasses, same beard.

I don't have a left thumb. What do I upload for IBPS Clerk?

Use the right thumb. If both thumbs are missing, use a finger of the left hand starting from the forefinger, and write which finger it is on the paper.

My photo is 15 KB. Will it be accepted?

No. The minimum is 20 KB, and the portal rejects smaller files too. Auto-fit raises the quality until the file is inside 20–50 KB.
