Why your photo got rejected (and how to fix it)
You filled the whole form, clicked Upload, and the portal said “Image size too large”, “Invalid file” or “Photo does not meet the specification”. Or worse — the upload went through, and weeks later your application was rejected at the scrutiny stage.
Almost every photo upload error comes from one of eight problems. Each one has a simple fix. This guide goes through them one by one, with the actual numbers that exam portals check.
First, find out what the portal actually wants
Every exam has its own rules. A photo that works for NEET can fail on the IBPS portal. Before you change anything, note these four things from the notice:
- File size range in KB — for example 20–50 KB.
- Pixel size — for example 200 × 230 px (width × height). Some exams give only KB, no pixels.
- Format — almost always JPG/JPEG for photos and signatures.
- Content rules — background colour, face size, ink colour, name and date on the photo, and so on.
Here are a few real examples (always check the latest official notice — numbers change between cycles):
| Exam | Photo | Signature |
|---|---|---|
| IBPS PO, SBI Clerk | 200 × 230 px, 20–50 KB | 140 × 60 px, 10–20 KB |
| NEET UG | 10–200 KB, white background | 10–100 KB |
| UPSC CSE | 20–200 KB | 3 signatures in one image, 20–100 KB |
| RRB NTPC | Captured live in the form | Min 140 × 60 px, 30–49 KB |
If your exam has a page on SahiSize, open it — the spec table is at the top with the source link.
Reason 1: File is too big (above max KB)
This is the most common error. A phone camera photo is usually 2–5 MB, which is 2,000–5,000 KB. The IBPS limit is 50 KB. That is 50 to 100 times smaller.
Fix: Do not just lower the “quality” slider in a random app and hope. Use Compress Image and set the exact target. If you need a common size, there are ready pages: compress to 20 KB, compress to 50 KB, compress to 100 KB. SahiSize finds the highest quality that still fits under the limit, so your face stays sharp.
Reason 2: File is too small (below min KB)
Many people do not know this one exists. IBPS wants the photo to be at least 20 KB. RRB wants the signature to be at least 30 KB. If you over-compress, the portal rejects it as too small.
A plain signature on white paper compresses very well, so it often comes out at 8–15 KB — too small for RRB’s 30–49 KB range.
Fix: Use a tool that targets a range, not just a maximum. SahiSize’s Signature Resize and the exam pages check both ends: the file must be above the minimum, and it lands just under the maximum with a small safety margin. For RRB, it adds a tiny amount of invisible detail or padding so the file reaches 30 KB without changing how the signature looks.
Reason 3: Wrong pixel size
“Photo dimensions should be 200 × 230 pixels.” If you upload 1080 × 1440, the portal may reject it or squash it into a stretched face.
Fix: Crop to the right shape first, then resize. The shape (aspect ratio) matters. 200 × 230 is a little taller than wide; a phone selfie is much taller. Your exam page and the Custom size tool show a crop box locked to the exact shape. Resize Image only changes the pixel count, so crop first or the picture gets squashed. Read KB vs pixels if this part is confusing.
Reason 4: Wrong format
The portal says JPG and you uploaded PNG, HEIC (iPhone) or WEBP (WhatsApp sometimes). Some portals also reject .jpeg files with odd internal settings, like progressive JPGs or CMYK colour.
Fix: Convert with Convert Image. SahiSize always outputs a plain baseline JPG in normal sRGB colour, which every portal we know of accepts. More on formats in JPG vs PNG vs PDF.
Reason 5: Background is not plain or light
Most notices say “light-coloured, preferably white, background”. NTA exams (NEET, JEE, CUET) say white. A photo taken in front of a curtain, cupboard or patterned wall can be rejected at scrutiny even if the upload worked.
Fix: Retake the photo standing in front of a plain light wall, a metre away from it so your shadow does not fall on it. Light should come from the front — face a window in daytime.
Reason 6: Face too small, too large or covered
UPSC wants the face to cover about 75% of the photo, with both ears visible. NEET asks for about 80% face including ears. Caps, dark glasses and hair covering the eyes are not allowed. Religious headwear is fine as long as the face is fully visible.
Fix: Use the crop box. Keep the top of your head close to the top edge and your chin around three-quarters of the way down. Remove glasses if they reflect light.
Reason 7: Blurred, dark or tiny signature
SSC rejects signatures that are blurred or too small. A signature written with a thin blue ballpoint, photographed from far away, becomes a faint grey line after compression.
Fix: Sign with a black gel pen, sign big, and crop tight so the ink fills most of the box. Our signature scanning guide covers this step by step. Also: banking exams say the signature must not be in capital letters.
Reason 8: Wrong photo, old photo or missing details
- The photo must be recent. NEET has asked for a photo taken on or after 1 January of the exam year; Bihar Police asked for one not older than 2 months.
- Some state exams (MPPSC, HSSC) want your name and date written on the photo.
- UPSC wants three signatures one below another in one image; Bihar Police wants two signatures, one in Hindi and one in English.
- Banking and NTA exams also take a live photo at the exam centre or in the form — your uploaded photo must match your face on the day.
Fix: Read the content rules on your exam page before you click the photo, not after.
A 2-minute fix routine
- Open your exam on SahiSize (or the right tool).
- Take a fresh photo against a plain wall, or pick a good one from your gallery.
- Crop using the locked box.
- Let SahiSize auto-fit the KB and pixels.
- Check the green ticks: KB, pixels, format.
- Download and upload to the portal.
Everything runs on your phone — your photo is never uploaded to our server.
FAQ
The portal says “image size too large” but my file is 49 KB. Why?
Some portals count 1 KB as 1,000 bytes, others as 1,024. A 49 KB file is 50,176 bytes — over a 50 KB limit if the portal counts in thousands. SahiSize aims just under the top of the limit with a safety margin, so the file passes whichever way the portal counts.
My upload worked. Can it still be rejected later?
Yes. The portal only checks size and format. A human or software checks background, face and signature quality later. Follow the content rules too.
Can I use the same photo for every exam?
Only if the specs match. IBPS, SBI and RBI share the same 200 × 230 px, 20–50 KB spec, so one file works for all of them. NEET or UPSC need a different file.
Is SahiSize the official tool of any exam?
No. SahiSize is an independent tool and is not linked to IBPS, SSC, RRB, NTA, UPSC or any other exam body. Always check the latest official notice.
