Upload errors and how to fix them
These are the messages the IBPS RRB Clerk (Office Assistant) portal shows. Each one has a fix.
- Error:
Invalid file size
- Fix: The IBPS RRB portal checks KB before anything else. Photo must be 20–50 KB, signature 10–20 KB, thumb 20–50 KB, declaration 50–100 KB. Use Auto-fit; it lands inside the range.
- Error:
Please upload a valid image
- Fix: Only JPG/JPEG is accepted. A PNG renamed to .jpg, a HEIC photo from an iPhone or a PDF will fail. SahiSize always saves a real JPG.
- Error:
Signature / Hand written declaration in CAPITAL LETTERS shall NOT be accepted
- Fix: This rule is in the notice itself. Re-write the signature and the declaration in normal running handwriting, then upload again.
- Error:
Image is unclear / smudged
- Fix: Usually a dark or blurry phone photo of the paper. Retake in daylight, keep the phone parallel to the paper, and leave Clean signature/thumb on.
- Error:
Photo uploaded in place of signature
- Fix: Each upload box takes only its own document. Use the file names SahiSize gives (photo.jpg, sign.jpg, thumb.jpg, decl.jpg) so you never mix them up.
Handwritten declaration text
Copy this text in your own handwriting, in English, on white paper. Fill in your name.
I, __________ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will submit the supporting documents as and when required.About the IBPS RRB Clerk (Office Assistant) upload rules
IBPS RRB Office Assistant (Multipurpose) is the clerk-level post in Regional Rural Banks. It is in the same CRP RRBs-XV notification as the officer post, and the 2026 window was 1–27 September 2026 (extended from 21 September).
What you upload
Four images on the usual IBPS specs, plus the 10th certificate as a PDF:
- Photo 200×230 px, 20–50 KB.
- Signature 140×60 px, 10–20 KB.
- Left thumb impression 240×240 px, 20–50 KB.
- Handwritten declaration 800×400 px, 50–100 KB.
- Class 10 certificate as one PDF on A4, not more than 500 KB.
These values are from Annexure III of the official CRP RRBs XV notice.
Applying from a cyber cafe or CSC
Many Office Assistant candidates apply through a cafe or Common Service Centre. You can save time and money by preparing the files yourself first:
- Make all files here on your phone. Nothing is uploaded to us; it runs on your device.
- Download the ZIP and send it to yourself, or copy it to a pen drive.
- At the cafe, the operator only needs to pick
photo.jpg,sign.jpg,thumb.jpganddecl.jpgfrom the folder. The names make it hard to mix them up. - You still need to be there for the live photo, which is taken by webcam or by scanning a QR code with your phone.
The declaration, briefly
Use the text on this page. The RRB wording ends “I will submit the supporting documents”, not “present” as on the IBPS PO form. Write your name in the blank, keep the rest exactly as given, and write in normal running English handwriting with black ink. Capital letters are not accepted.
You can take the Office Assistant exam in your state’s regional language, but the declaration is still written in English. A declaration in Hindi or another language is treated as invalid.
Reusing last year’s files
Sizes have not changed, so last year’s signature and thumb usually still pass. Use a recent photo and write a fresh declaration.
When the form complains
A KB error means the file is outside its range. Re-run Auto-fit on the original picture. If the preview looks blurry or smudged, retake the photo of the paper in better light; IBPS can reject unclear uploads even if the size is right.
IBPS RRB Clerk (Office Assistant) size FAQ
What is the photo and signature size for IBPS RRB Clerk?
Photo 200×230 pixels, 20–50 KB; signature 140×60 pixels, 10–20 KB; left thumb 240×240 pixels, 20–50 KB; handwritten declaration 800×400 pixels, 50–100 KB. All JPG.
What do I write in the IBPS RRB Clerk handwritten declaration?
Copy the exact text shown on this page in English, in your own running handwriting, with black ink on white paper. Fill in your name. Do not write in capital letters and do not sign at the bottom unless the form asks.
Do I still upload a photo if IBPS RRB Clerk captures a live photo?
Yes. You upload the scanned photo AND capture a live photo with the webcam or by scanning the QR code with your phone. Both should look like you today: same glasses, same beard.
I don't have a left thumb. What do I upload for IBPS RRB Clerk?
Use the right thumb. If both thumbs are missing, use a finger of the left hand starting from the forefinger, and write which finger it is on the paper.
I applied from a cyber cafe last year. Can I reuse those files?
Only if the photo is still recent and you look the same. The declaration should be freshly written. Sizes have not changed, so old signature and thumb files usually still pass.
Do I need a 10th certificate for RRB Clerk?
Yes. The CRP RRBs XV notice asks for the SSC/SSLC (10th) certificate as one PDF on A4, not more than 500 KB. Make the PDF here.
