Upload errors and how to fix them
These are the messages the IBPS SO (Specialist Officer) portal shows. Each one has a fix.
- Error:
Invalid file size
- Fix: The IBPS portal checks KB before anything else. Photo must be 20–50 KB, signature 10–20 KB, thumb 20–50 KB, declaration 50–100 KB. Use Auto-fit; it lands inside the range.
- Error:
Please upload a valid image
- Fix: Only JPG/JPEG is accepted. A PNG renamed to .jpg, a HEIC photo from an iPhone or a PDF will fail. SahiSize always saves a real JPG.
- Error:
Signature / Hand written declaration in CAPITAL LETTERS shall NOT be accepted
- Fix: This rule is in the notice itself. Re-write the signature and the declaration in normal running handwriting, then upload again.
- Error:
Image is unclear / smudged
- Fix: Usually a dark or blurry phone photo of the paper. Retake in daylight, keep the phone parallel to the paper, and leave Clean signature/thumb on.
- Error:
Photo uploaded in place of signature
- Fix: Each upload box takes only its own document. Use the file names SahiSize gives (photo.jpg, sign.jpg, thumb.jpg, decl.jpg) so you never mix them up.
Handwritten declaration text
Copy this text in your own handwriting, in English, on white paper. Fill in your name.
I, __________ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required.About the IBPS SO (Specialist Officer) upload rules
IBPS Specialist Officer covers several posts, such as IT Officer, Agriculture Field Officer, Law Officer, HR/Personnel, Marketing and Rajbhasha Adhikari. All of them are filled through one application with the same uploads. The form usually opens around July–August; in 2026 (CRP SPL-XVI) it was open from 1 to 21 July. The sizes below are from Annexure III of the official CRP SPL-XVI notice.
Five uploads, same as IBPS PO
- Photo: 200×230 px, 20–50 KB.
- Signature: 140×60 px, 10–20 KB.
- Left thumb impression: 240×240 px, 20–50 KB.
- Handwritten declaration: 800×400 px, 50–100 KB.
- Class 10 (SSC/SSLC) certificate: one PDF on A4 pages, not more than 500 KB.
The four images are JPG, scanned at 200 DPI. A two-page certificate goes into one PDF; add both pages here.
Why the declaration fails most often
The declaration is the largest file and the easiest to get wrong. Common problems:
- Too big. A photo of a whole A4 page is several megabytes. Crop to just the written lines; SahiSize brings it to 800×400 px and 50–100 KB.
- Too small. A very tight crop with thin ink can fall under 50 KB. Auto-fit raises the quality to cross the minimum.
- Wrong text. Use the IBPS wording shown on this page, without the SBI Date of Birth line.
- Capital letters. Not accepted for the declaration or the signature.
A short routine
- Write the declaration on unruled white paper with a black gel pen.
- Sign and place the left thumb on a second sheet.
- Photograph both flat, in daylight, with no shadow from your phone.
- Photograph your 10th certificate flat, page by page.
- Take the photo against a light wall.
- Crop and Auto-fit each one here, then download the ZIP.
If the portal rejects something
Find the failed field and compare it with the Pass check card. If all rows are green but the upload still fails, try a different browser; old browser caches sometimes keep a previous file. Then contact the IBPS helpdesk listed in the notice.
IBPS SO (Specialist Officer) size FAQ
What is the photo and signature size for IBPS SO?
Photo 200×230 pixels, 20–50 KB; signature 140×60 pixels, 10–20 KB; left thumb 240×240 pixels, 20–50 KB; handwritten declaration 800×400 pixels, 50–100 KB. All JPG.
Are sizes different for IT Officer, Law Officer or AFO?
No. All IBPS SO posts use one application form with the same photo, signature, thumb and declaration specs.
What do I write in the IBPS SO handwritten declaration?
Copy the exact text shown on this page in English, in your own running handwriting, with black ink on white paper. Fill in your name. Do not write in capital letters and do not sign at the bottom unless the form asks.
Do I still upload a photo if IBPS SO captures a live photo?
Yes. You upload the scanned photo AND capture a live photo with the webcam or by scanning the QR code with your phone. Both should look like you today: same glasses, same beard.
I don't have a left thumb. What do I upload for IBPS SO?
Use the right thumb. If both thumbs are missing, use a finger of the left hand starting from the forefinger, and write which finger it is on the paper.
Why does my declaration fail at 120 KB?
The declaration must be 50–100 KB at 800×400 pixels. A full-page phone photo is much bigger; crop to the written text and Auto-fit.
